At Plantastics, we respect your privacy and aim to handle personal information carefully, transparently and only where it is reasonably needed.

This policy explains the types of personal information that may be processed when you use the Plantastics website, register your interest in our developing personalised services, subscribe to our newsletter, use Ask Savia or interact with related Plantastics systems.

It also explains why that information may be used, the services that may process it, how long it may be kept and the rights available to you.

1) Who we are

Plantastics creates educational content about plants, ecology, rewilding and regenerative approaches to outdoor spaces.

Plantastics is currently in a pre-launch validation stage for future remote personalised rewilding and regenerative design services. These personalised services are not currently available to purchase.

For data-protection purposes, the relevant data controller is:

Data Controllers:
Andrea Abad Exposito and Ruben Sanchez Rodriguez de Guzman.
Contact: hello@plantastics.co.uk

For privacy-related questions or requests, please contact:

hello@plantastics.co.uk

2) Information we may collect

The information we process depends on how you interact with Plantastics.

A) Pre-launch interest and validation forms

If you register your interest in a developing Plantastics service such as Seed, Sprout or Canopy, we may process information such as:

  • Your email address

  • Your country

  • The type of outdoor space you have

  • When you may be interested in starting

  • What you would like help with

  • Your goals or priorities for the space

  • The service in which you have expressed interest

  • Your stated level of interest after seeing the proposed price

  • Other information you voluntarily provide through the form

We use this information to understand genuine demand for the services we are developing, assess which services and features are most useful, improve the Plantastics offer and contact you about the relevant service when appropriate.

Submitting an interest form:

does not create a booking, reserve a service, create a contract or commit you to making a purchase.

No payment is taken through these validation forms.

B) Personalised services and enquiries

If Plantastics launches its personalised services and you later enquire about or purchase one, we may process information such as:

  • Your name

  • Your email address

  • Your country or project location

  • Information about your home, garden, balcony, terrace or other project space

  • Measurements or dimensions where required

  • Your goals, preferences and project requirements

  • Photographs

  • Videos

  • Information included in questionnaires or forms

  • Communications between you and Plantastics

  • Order and payment-related information when live payments are enabled

Please provide only information that is relevant to your enquiry or project.

C) Newsletter

If you choose to subscribe to the Plantastics newsletter, we may process:

  • Your email address

  • Subscription and consent information

  • Information associated with newsletter delivery and engagement

Newsletter subscription is optional and is separate from registering interest in a Plantastics service.

Where Plantastics offers a free resource, such as the Plantastics Starter Kit, in connection with newsletter subscription, the relevant subscription form will explain this before you subscribe.

D) Ask Savia

If you use Ask Savia, Plantastics may process:

  • The text you submit in the conversation

  • Information necessary to generate and deliver a response

  • Limited technical information associated with the request

Please do not submit passwords, payment-card details, financial account information, health or medical information or other unnecessary sensitive personal information through Ask Savia.

E) Website and technical information

When you use the Plantastics website, technical systems may process information necessary to operate, secure and understand use of the website.

This may include:

  • Browser or device information

  • Pages visited

  • Technical request information

  • Approximate location information derived from technical data where applicable

  • Cookie or analytics information where applicable

Further information about cookies is provided in the Plantastics Cookie Policy.

3) How we use your information

Depending on how you interact with Plantastics, personal information may be used to:

  • Register and manage pre-launch interest in Seed, Sprout, Canopy or other developing services

  • Understand demand for Plantastics services

  • Evaluate how prospective customers respond to proposed services and prices

  • Improve the services and customer experience we are developing

  • Contact people who have asked to be informed when a relevant service becomes available

  • Respond to enquiries

  • Provide and administer personalised Plantastics services when they become commercially available

  • Review project information submitted through questionnaires

  • Review photographs, videos and other project materials

  • Communicate with customers about their project

  • Ask for clarification where required

  • Deliver personalised plans and related project documents

  • Operate forms and file-upload systems

  • Send service-related confirmation and completion emails where configured

  • Manage newsletter subscriptions

  • Send newsletters where you have chosen to subscribe

  • Deliver newsletter-related resources such as the Plantastics Starter Kit

  • Operate and improve the Plantastics website and related systems

  • Operate Ask Savia

  • Maintain the security and reliability of our systems

  • Process orders and payments when live payment facilities are enabled

  • Meet applicable legal, accounting or administrative requirements

Plantastics aims to process only the information reasonably necessary for the relevant purpose.

4) Pre-launch validation

Plantastics is currently testing whether there is genuine demand for its proposed personalised rewilding services before deciding whether to begin commercial activity.

During this period, Plantastics may invite visitors to express interest in services and indicate whether they would genuinely consider purchasing them at the prices shown.

This information is used for market and demand validation and to improve the services being developed.

Plantastics does not currently:

  • Take payment for Seed, Sprout or Canopy

  • Take deposits or advance payments

  • Create economically committed reservations

  • Accept confirmed project commissions through validation forms

  • Commit to a service start date through those forms

If commercial services are launched, the relevant terms, payment arrangements and customer information will be provided separately before a purchase is made.

5) Personalised-service forms and project materials

If personalised services become available, Plantastics may use online systems to collect information required to understand and prepare a project.

Depending on the service and stage of the customer journey, this may include:

  • Hostinger website functions

  • Kit forms

  • Tally forms or upload facilities

  • Email communication

  • Automated workflow tools used to support customer communications

Project information may include photographs, videos, measurements, preferences and other details relevant to the selected service.

Customers should use the official questionnaire and submission routes provided by Plantastics for project materials rather than sending unnecessary personal information through unrelated channels.

6) Photographs and videos

Photographs and videos submitted for a personalised service are used to help Plantastics understand the project space and prepare the relevant service.

Photographs and videos may incidentally contain identifiable information. Where possible, please avoid including people, documents, vehicle registration numbers or other unnecessary personal information.

Plantastics does not use customer project photographs or videos publicly for marketing, social media, portfolio content or other public purposes without appropriate permission.

Project photographs and videos are not treated as a plant-health diagnosis, structural assessment, engineering assessment or other regulated professional inspection.

7) Newsletter and
Starter Kit

Plantastics currently uses Kit for newsletter, subscriber and related form activity.

If you subscribe to the newsletter, your information may be processed through Kit for purposes such as:

  • Managing your subscription

  • Confirming your email address

  • Sending Plantastics newsletters

  • Delivering newsletter-related resources

  • Delivering the Plantastics Starter Kit where offered

  • Managing unsubscribe requests

  • Managing subscription preferences

Newsletter subscription is optional.

Registering interest in Seed, Sprout, Canopy or another Plantastics service does not automatically subscribe you to the Plantastics newsletter.

Where newsletter subscription is offered after submitting a service-interest form, joining the newsletter is a separate and optional action.

Where email confirmation is enabled, you may be asked to confirm your email address before your subscription becomes active or before a downloadable resource is delivered.

You can unsubscribe at any time using the unsubscribe option included in newsletter emails.

8) Ask Savia

Ask Savia is Plantastics’ digital customer guide.

Information submitted to Ask Savia may be transmitted to the technical systems required to process the request and generate a response.

The current Ask Savia backend is configured so that model requests use store: false.

Ask Savia should not be used to submit:

  • Passwords

  • Payment-card details

  • Financial account information

  • Health or medical information

  • Other unnecessary sensitive personal information

Plantastics continues to review the complete technical customer journey associated with Ask Savia, including browser-side behaviour and relevant technical retention.

Until those arrangements have been fully verified, users should avoid submitting information that is not necessary for their question.

This section will be updated if the technical configuration of Ask Savia changes.

9) Service providers and data sharing

Plantastics uses third-party systems to operate different parts of its website, validation activity, communications and future services.

Depending on how you interact with Plantastics, relevant systems may include:

  • Hostinger — website, hosting and related website functions

  • Kit — validation forms, newsletter, subscriber management and related email activity

  • Tally — project photograph, video and material uploads where used

  • Make — workflow automation for configured processes

  • Hostinger Email — customer and service-related email where configured

  • Vercel — Ask Savia backend infrastructure

  • OpenAI — processing used by Ask Savia to generate responses

  • Stripe — payment processing if and when live commercial payments are activated

These providers may process limited personal information where necessary to provide the relevant functionality to Plantastics.

Plantastics aims to share or process only the information reasonably required for each function.

We do not sell your personal information to advertisers or other third parties.

Third-party providers operate under their own technical, contractual and privacy arrangements.

10) Cookies and similar technologies

The Plantastics website may use cookies and similar technologies to operate website functions, maintain security, understand website usage or provide enabled features.

Some technologies may be necessary for the website to operate correctly, while others may relate to analytics or other optional functions.

Where applicable law requires consent before an optional cookie or similar technology is used, Plantastics aims to obtain that consent through the controls provided on the website.

For more information about the cookies used by Plantastics and the available controls, please see the Plantastics Cookie Policy.

11) How long we keep information

Plantastics aims to keep personal information only for as long as reasonably necessary for the purpose for which it was collected and for any applicable legal or administrative requirements.

The criteria used depend on the type of interaction.

Pre-launch service interest

Information submitted through Seed, Sprout, Canopy or other validation forms may be kept while Plantastics evaluates the relevant service and for the period reasonably necessary to contact people who asked to be informed about its availability.

Where the information is no longer needed for that purpose, Plantastics aims to delete, anonymise or otherwise remove it where appropriate, unless another lawful reason requires it to be retained.

Newsletter

Newsletter information may be retained while you remain subscribed.

If you unsubscribe, Plantastics may retain limited information where reasonably necessary to record and respect your unsubscribe request.

Enquiries and future customer projects

Information connected with enquiries and personalised services may be kept for as long as reasonably required to respond to the enquiry, provide the service, maintain appropriate records and meet applicable legal requirements.

Technical systems

Retention periods may also depend on the technical systems used by Plantastics and their configured functions.

Plantastics continues to review retention arrangements across Hostinger, Kit, Tally, Make, Ask Savia and other systems used in the customer journey and will update this policy where appropriate.

Plantastics will not make unsupported claims about fixed retention periods that have not been verified.

12) Legal basis for processing

The legal basis used depends on why the information is being processed.

Pre-launch interest and availability notifications

Where you voluntarily submit a validation form and ask Plantastics to register your interest or let you know when a service becomes available, Plantastics may rely on your consent for that processing.

You may withdraw that consent by contacting Plantastics.

Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.

Newsletter

Newsletter emails and newsletter-related marketing communications are sent where you have chosen to subscribe and provided the relevant consent.

You can withdraw that consent at any time by unsubscribing.

Enquiries and future personalised services

Where you contact Plantastics about a potential service, processing may be necessary to respond to your request or take steps requested by you before entering into a contract.

If you later purchase a Plantastics service, certain processing may be necessary for the performance of that contract.

Website operation, security and administration

Certain processing may be based on Plantastics’ legitimate interests in operating, protecting and administering its website and systems, provided those interests are not overridden by your rights and freedoms.

Legal and administrative obligations

Where required, Plantastics may process or retain information to comply with applicable legal obligations.

Cookies and optional analytics

Where consent is required for optional cookies, analytics or similar technologies, the relevant processing will be based on your consent.

13) International processing and transfers

Some service providers used by Plantastics may process personal information from locations outside the country in which you live or outside the European Economic Area.

Where applicable data-protection law requires safeguards for an international transfer, Plantastics aims to use providers and arrangements that provide an appropriate legal mechanism for that transfer, such as:

  • An applicable adequacy decision

  • Approved contractual safeguards

  • Another transfer mechanism permitted by applicable data-protection law

The exact arrangements may depend on the provider, service configuration and location involved.

Plantastics does not make unsupported claims that all data remain within a particular country or region.

You may contact hello@plantastics.co.uk if you have a question about the processing of your information by a particular Plantastics service provider.

14) Your privacy rights

Depending on your location and the law that applies to you, you may have rights relating to your personal information.

These may include the right to:

  • Request access to personal information held about you

  • Ask for inaccurate information to be corrected

  • Request deletion of information where applicable

  • Object to certain processing where applicable

  • Request restriction of certain processing where applicable

  • Withdraw consent where processing is based on consent

  • Request a copy of certain information where a right to data portability applies

  • Lodge a complaint with the competent data-protection supervisory authority

Where Spanish or EU data-protection law applies, the relevant supervisory authority may include the Agencia Española de Protección de Datos (AEPD).

To make a privacy-related request, contact:

hello@plantastics.co.uk

Plantastics may need enough information to identify the relevant records and respond appropriately to your request.

15) Automated decision-making

Plantastics does not currently use the information submitted through its Seed, Sprout or Canopy validation forms to make decisions that produce legal or similarly significant effects through solely automated processing.

Responses to validation questions may be grouped or analysed to understand demand, customer needs and interest in Plantastics services.

16) Security and data minimisation

Plantastics aims to take reasonable technical and organisational measures to protect personal information and reduce unnecessary access to personal data.

We follow a data-minimisation approach and ask users and customers to provide only the information reasonably required for the relevant enquiry, validation form or personalised service.

No online system can be guaranteed to be completely secure, and Plantastics does not make an absolute guarantee of security.

If you believe information you provided to Plantastics may have been accessed or handled incorrectly, please contact:

hello@plantastics.co.uk

17) Third-party websites and affiliate links

The Plantastics website may contain links to external websites or services.

When you follow a link to another website, that website operates under its own terms and privacy practices. Plantastics is not responsible for the privacy practices of independent third-party websites.

Some Plantastics content may include affiliate links.

Where an affiliate link is used, Plantastics may receive a commission or other benefit if a qualifying purchase or action is made through that link.

The privacy practices of the external website or retailer are governed by that third party.

18) Changes to this policy

Plantastics may update this Privacy & Responsibility Policy from time to time to reflect changes to its services, validation activities, systems, legal structure or applicable requirements.

The latest version will be published on the Plantastics website with an updated date.

If a material change affects how personal information is used, Plantastics will take appropriate steps to provide additional information or obtain consent where required.
